Often, we are witnesses or the error message: “Voucher XXX is already used as of date XXX.”

There are two ways to avoid this error message.

The first one is by cleaning the status list of the number sequence. Go to Organization administration --> Number sequence --> Number sequence and search for the one. Here we choose Status list and pressing at the same time ALT+F9.

After this clean-up we need to delete the journal and re-create it again.

Another way to avoid this error is by using the temporary voucher number.

This can be done in General Ledger --> Journal setup --> Journal names. In the General tab we choose yes for Number allocation at posting.

Let us see the format for this number sequence.

We go to General ledger --> Ledger setup --> General ledger parameters. From the left side we choose Number sequences and search for the Temporary voucher number. Right click on the arrow next to the number sequence code, and view details.

From the same Journal name, in the General tab we can see the number sequence for this journal, as in the picture below. For this example, Fixed asset journal.

Let us create Fixed asset journal entry.

Fixed assets --> Journal entries --> Fixed assets journal. For this example, we will use Disposal-scrap proposal.

In the window that pops out we choose the date, fixed assets and press OK. As shown in the picture below.

Journal lines will be generated.

From here we can see that their voucher numbers are the same as the temporary voucher number and not as the Fixed asset journal voucher number sequence.

When we post this voucher, it gets the voucher number as for the Fixed asset journal.

We can conclude that D365 FO can generate temporary voucher number that is updated at the time of posting with the actual voucher number from the used journal.
